HR POLICIES

These Policies are designed to maintain transparency, fairness and consistency across all employment practices.

1.Holiday Policy

Unimaze Software Technologies observes a set of paid holidays each year to promote employee well-being and cultural inclusivity.

Key Points:

  • Applicable to all full-time employees and trainees.

  • The company observes 10 paid holidays annually, including major national holidays such as New Year’s Day, Republic Day, Independence Day, Gandhi Jayanti, and Christmas.

  • Employees are also eligible for 2 optional holidays per year, which can be taken using their Privilege Leave (PL) with prior manager approval.

  • Employees working on designated holidays will receive either an Advantage Leave or one day’s gross pay as compensation.

  • The HR Department publishes the official holiday list at the start of each calendar year.

2. Leave Policy

Unimaze Software Technologies provides various leave options to support employee well-being and maintain business continuity.

Key Points:

  • Applies to all full-time employees and trainees.

  • Leave Entitlements:

    • Casual Leave (CL): 6 days/year (not carried forward).

    • Sick Leave (SL): 6 days/year (medical proof required for >2 days, not carried forward).

    • Privilege Leave (PL): 18 days/year, can be carried forward up to 45 days (as per Karnataka Act No.8).

    • Advantage Leave (AL): Earned when working on company holidays; can be used or compensated with pay.

    • Education Leave (EL): Granted for project- or company-related studies.

  • Holidays: Saturdays, Sundays, and designated company holidays.

  • General Rules:

    • All leaves require prior manager approval.

    • Unapproved or excess leave will be treated as Loss of Pay (LOP).

    • Trainees can take up to 1 leave per month during their 3-month training period.

  • The policy is reviewed annually by HR and updated as required.

3. Reimbursement Policy

Unimaze Software Technologies LLP reimburses eligible business-related expenses incurred by employees while performing official duties.

Key Points:

  • Applicable to: All trainees and full-time employees.

  • Expense Categories:

    • Pocket Expenses – Employee-paid expenses reimbursed upon submission of valid bills (as per defined limits and frequency).

    • Non-Pocket Expenses – Higher-value items reimbursed with prior approval and mandatory supporting documents.

  • Annual Pocket Expense Limit: ₹54,000 (included in CTC and claimable as per eligibility).

  • Non-Pocket Expenses: Includes items such as laptop repair, monitor, furniture, SSD, etc., subject to defined limits and timelines.

  • Utilities Reimbursement:

    • Broadband – Up to ₹1,500 per month (pro-rata basis).

    • Electricity – Up to ₹500 per month (pro-rata basis).

  • Special Benefits: Birthday and work anniversary gift amounts are credited directly to the employee’s salary account.

  • Claim Process:

    • Submit request via email to HR and reporting manager.

    • Valid bills/invoices required (unless otherwise specified).

    • Approved claims are reimbursed within 5 working days.

  • Recovery provisions apply if an employee resigns within one year of joining.

  • The policy is reviewed periodically by HR.

3. Notice Period Policy

This policy ensures a smooth transition when employees resign, minimizing disruption to business operations.

Applicability:

  • All trainees and full-time employees of Unimaze Software Technologies LLP.

Notice Period:

  • Trainees: 7 days

  • Full-Time Employees: 30 days

Key Guidelines:

  • Employees must submit a formal resignation email to their reporting manager and HR.

  • During the notice period, employees must complete responsibilities and ensure proper Knowledge Transfer (KT).

  • Managers and HR will coordinate handover and final settlement.

Leave During Notice Period:

  • Privilege Leave (PL) may be used with approval; the notice period will be extended accordingly.

  • Leave taken after KT completion will be treated as unpaid leave without notice extension.

Early Exit & Non-Compliance:

  • Early release requires mutual approval from Manager and HR.

  • Failure to serve the required notice may result in recovery of dues as per agreement.

Repayment Clause:

  • Employees resigning within one year of joining may be required to repay certain Pocket/Non-Pocket benefits, subject to HR review.

The policy is reviewed annually by HR.
